Find a time to meet for group projects and clubs

Five people, five timetables, one deadline. Send a single link, let everyone mark when they are free, and see the times that work for the most people ranked at the top. Nobody has to sign up.

Group projects rarely stall on the work itself. They stall on the first meeting. One person has labs on Tuesdays, another works weekend shifts, someone commutes and is only on campus three days a week, and the group chat fills up with "I could do Thursday maybe?" until the deadline is suddenly close.

Clubs and societies have the same problem at a bigger scale: a committee of eight, a membership of forty, and nobody wants to be the person who keeps asking. A shared poll replaces that thread. Everyone answers once, in their own time, and the organizer reads the result instead of piecing it together from messages.

MeetSync is built for exactly that. It is free, it works in any browser, and the people you send it to only need the link and a name. It does not connect to calendars or send reminders, so you will still post the final time in your chat yourself. It just takes the guesswork out of choosing it.

Why this matters

The first meeting sets the pace

Groups that meet early split the work early. A week lost to picking a time is a week less to finish, and it usually comes out of the last few days before the deadline.

Quiet members get a say

In a busy chat the loudest schedule wins. In a poll, the person who works evenings marks their hours like everyone else, and the result reflects the whole group.

No one wants another account

Classmates will ignore a tool that makes them register first. A link they can answer in under a minute actually gets answered.

How to do it with MeetSync

  1. 1

Create a poll for the dates you are considering

Pick the days between now and your deadline, or one typical week if you are looking for a regular slot. Choose 30 or 60-minute slots, which suit most study sessions and club meetings.

  2. 2

Drop the link in your group chat

Post it in WhatsApp, Discord, Teams, Slack or your class forum. Each person opens it, types their name and taps the times they are free. If someone is studying abroad or at home in another country, they see the times in their own time zone.

  3. 3

    Check the ranked results

The times that suit the most people appear first and the list updates as answers come in. Only you, the organizer, can see who said what, using your organizer link or access code.

  4. 4

    Post the winning time

Share the chosen slot back in the chat and add it to your own calendar. If plans change, people can reopen the link on the same device to update their answers.

Tips that actually help

Set a response deadline

Ask everyone to answer by a specific time, such as tonight at 9. Polls without a deadline drift, and the last person to respond holds up the group.

Offer fewer, better options

Three or four days in the right week beat a whole month. A narrow poll gets faster answers and is more likely to produce a time everyone can make.

For weekly meetings, poll one sample week

MeetSync works with real dates rather than repeating days of the week, so choose one representative week. The slot that wins there is usually the one to keep each week.

Keep the organizer link to yourself

Share the participant link with the group. The organizer link shows everyone's responses, so keep it for whoever is coordinating.

Frequently asked questions

Is MeetSync free for students and clubs?

Yes. MeetSync is free to use, and the people you invite do not need an account. Organizers can create an optional account to keep their meetings in one place.

Do my classmates need to download an app?

No. MeetSync runs in the browser on phones and computers. Everyone opens the same link, adds their name and marks their free times.

Can MeetSync read everyone's timetable or calendar?

No. MeetSync has no calendar integration. Each person marks their own availability, which also means nobody has to share their full calendar with the group.

Can I set up a meeting that repeats every week?

Not directly. MeetSync polls specific dates and has no recurring or days-of-the-week mode. Poll one typical week, then reuse the winning slot for your regular meeting.

What if a group member is in a different time zone?

MeetSync detects each viewer's time zone and shows the slots in it, so a member studying abroad sees the times in their local clock without converting anything.

Can people change their answer later?

Yes. A participant can reopen the link on the same device and edit their availability, and the ranked results update straight away.

Picking a meeting time is the least interesting part of a group project, so it should take the least time. One link, one round of answers, and a clear best time at the top of the list lets your group get on with the actual work.
